Kai Radian, Inc. operates this website and application. Kai Radian helps people work with AI and the knowledge and services they choose to connect. This policy explains how we handle information on our website and in our application. For privacy questions or requests, contact hello@kairadian.com.

Information we handle

When you contact us, we receive your name, email address, optional company name and message. The website sends your submission through Resend to our inbox. Its contact service does not keep a separate copy; email copies remain with the delivery service and our mailbox. Please do not submit confidential business or customer information through this public form.

In the application, we handle your sign-in identity, profile, settings, company memberships, permissions and selected knowledge sources. We process messages, responses and content you provide or ask Kai to retrieve. Voice features process audio and conversation context through OpenAI; voice transcripts become part of conversation history.

A Brain is a knowledge collection owned by a Person or Company. Files and knowledge you choose to save there are retained in its repositories and supporting storage. Access follows the Brain’s ownership and permissions. Shared conversations are available to their permitted participants; choose the audience before sharing sensitive information.

Your Google connection

You connect your own Google account through Connections in KR Settings and authorize access on Google’s consent screen. Each Person authorizes their own accounts. Kai Radian’s Google application registration identifies our service; it does not give other users access to your account. We do not receive your Google password.

The connector requests Google authorization for Gmail, Calendar, Drive, Docs, Sheets, Slides and Tasks together, along with account identity. KR provides account-bound tools to read content, create drafts and documents, update supported items, send specified email content, invite calendar guests, share Drive files with a named person, organize mail and files, and move mail or Drive items to Trash. Permanent deletion is unavailable. Google may grant broader abilities than KR makes available; operations also depend on the permissions actually granted to each account. Personal connections are unavailable in shared Rooms.

Each account has five controls—Read, Create, Update, Send or share, and Trash—with Blocked, Ask first or Allowed for each. Suggested defaults allow Read/Create and ask for the other three. These account-wide controls govern direct requests and Skills alike. Only the signed-in account owner can change them in KR Settings. For Ask first, the owner reviews the exact account, action and content in the application and chooses Allow once or Deny while Kai waits. An unanswered request expires after ten minutes. Changing the controls alone does not require another Google consent when the grant already covers the operation; missing Google permissions require reconnecting to add access.

Connecting does not start monitoring your accounts or copy their content into a Brain. We use the Google information needed for your requests, such as email messages, calendar events, file details, document and presentation content, spreadsheet values and tasks. Relevant information goes to OpenAI to answer your request, and retrieved content or summaries may remain in your private conversation history. Requested creations and changes send the corresponding content back to Google. Saving content to a Brain is a separate action subject to your instructions and permissions.

Google authorization tokens are stored in Google Cloud Secret Manager, associated with your connection. The service temporarily loads the credentials for authorized operations and removes that temporary copy afterward.

We keep the exact content of an approval request privately while it is awaiting a decision or execution. We clear that temporary content when the request ends, the one-time approval is used, or we detect that it has expired. This does not erase content already retained in your conversation history or a Brain.

How information is used and shared

We use information to provide requested features, maintain your account and continuity, enforce permissions, respond to you and protect the service. Google Cloud hosts our services, account records, retained conversation storage and credentials. Cloudflare provides website and application delivery and access control. OpenAI processes AI requests, including voice. GitHub hosts Brain repositories; Resend delivers contact messages. If you use WhatsApp, messages also pass through that service. Relevant information is shared with these providers to perform their roles. The public website also requests fonts from Google Fonts, which receives the browser requests needed to deliver them. Provider processing may occur outside your country.

Authorized operators may access information when needed for service operation, support, security or legal obligations, subject to the stricter Google-data limits below.

Google data commitment: Our handling of information received from Google APIs follows the Google API Services User Data Policy, including Limited Use. We use Google data and derived content only for the disclosed user-facing features. We do not sell it, use it for advertising or credit decisions, or use it to train general-purpose AI models. We transfer it only with your consent to provide those features, for security or legal requirements, or with prior explicit consent in a business transfer. Human access to specific Google content requires your affirmative agreement, unless necessary for security or legal compliance. These restrictions also apply to our service providers.

Retention and your choices

Conversation history and Brain knowledge are retained for continuing use. Disconnecting Google removes KR’s stored connection credentials and stops future connector access. It does not erase earlier conversations or Brain content, or revoke Google’s separate app grant. You can also revoke that grant in your Google account settings. Archiving a conversation or disabling a source does not delete previously retained content.

Contact us to request access, correction or deletion. We verify identity and authority, review the request against applicable rights and legal obligations, and explain any limitations. Company-owned information may require coordination with its owner. Retention depends on the information’s purpose, continuing service use, legal requirements and existing backups.

We will update this policy when practices change. A new use of Google data requires updated disclosure and consent before that use begins.
